Event Planner, Career Level 4, reporting to senior level Marketing Manager
This position is responsible for the planning and execution of the US Firms' Strategy and Operations thought leadership and marketing events
Qualifications
- Bachelor's degree in hospitality, hotel management, business, marketing or related field required; (advanced degree preferred)
- Minimum of eight years of event planning and execution experience in the professional services industry, preferably in consulting
- Passion for event planning and execution, and designing forums where diverse groups of executives interact.
- Unparalleled standards for event quality, service, and distinction, from the most str! ategic to the most tactical element
- Keen attention to! detail
- Ability to thrive independently under deadline pressure and creatively solve the inevitable issues that occur
- Experience and insight into the latest event technologies, practices, and techniques; interest in keeping current with innovative ideas
- Articulate, poised, confident, and the aability to build relationships and trust with regional leadership and stakeholders
- Leadership skills and ability to work in a matrixed environment with considerable autonomy
- Demonstrated ability to work as part of a multidisciplinary team including business developers, writers/editors, designers, and multimedia producers
- Excellent communication skills (written and oral) with a strong focus on customer service
- Ability to understand scope, create timelines and budgets, and deliver on time to budget
- Event market expertise and knowledge with existing network of venues and vendors
Event Planning and Execution:
- Work with senior executives, thought leaders and marketing team to plan and implement a comprehensive event portfolio that supports the firm's strategy and operating model
- Elevate our events program to Best Practice status so that it becomes an essential part of our differentiation, client experience, and revenue generation
- Expand the event portfolio from current executive briefings, book promotions, and webcasts to include other forums
- Manage a budget, tight schedules, and detailed workplans spanning dozens of events globally-often under way simultaneously, at various stages of development.
- Manage all pre-, live, and post-event components (excluding audience generation and business follow-up), including: venue sourcing, catering and technology requirements, contract negotiation, logistics, speaker/panelist management, invitations, branding, vide! o capture and reuse, feedback and debriefings, and post-event analysis
- Effectively communicate event objectives and requirements to support sourcing, registration, and logistical processes; serve as single point of contact and drive the process for the sponsor; final review and approval
- Manage select internal events such as in-person and virtual special events, Town Halls, and the like
- Support conference event marketing activities
- Measure program effectiveness-marketing, business, and client value-and make enhancements
- Contribute to other marketing and communications programs as directed.
- Develop and maintenance of forecast calendar
- Enforce all meeting protocols and guidelines (cost saving measures, risk policies, contract approvals)
- Review and approve detailed specifications with venue operations
- Manage third party contracts for outside venue provided services when required (catering, production, event décor, entertainment, transportation, team-building, IT, spe! cial supplies/materials, temp assistance, security etc.)
- Audit and process invoices
- Post meeting reporting and reconciliation
- Frequent interaction with restaurants/hotels and industry sales and operation professionals, supporting Monitor Deloitte's partnerships in a professional manner
- Frequent interaction and communication with US Firms' leadership and external clients through event registration and coordination
- Collaborate with other NMS Service Lines, SPS , Talent, Marketing and Local Office Operations/Hoteling
- Manager and Peer Reviews
- Event Sponsor feedback
- Accuracy and timeliness of forecasts
- Accuracy and timeliness of data in meetings management systems
