Reporting directly to the MGH/MGPO Senior Vice President and the Chief of Service and with a strong relationship to the VP for Medical A! dministration at SRH, the Sr. Administrative Director works collaboratively with departmental, MGPO, MGH, BWH and SRH leadership to manage the financial and administrative components of the Department related to the professional staff and their activities. This includes the effective management of the group practice (on site and off site), professional compensation, personnel matters, financial planning and implementation, professional billing and compliance.
General:
Assists the Sr. Vice President and Chief of Service with the establishment and implementation of departmental policies and procedures.
Leads the communication and implementation of MGPO, MGH, BWH and SRH policies and procedures related to the professional group and the group practices.
Finance:
Leads the development and implementation of the Physician Compensation Plan. Manages all transactions, incentive payments, analyses and changes to the plan.
Develops and m! anages all aspects of the operating and capital budgets for th! e MGPO, MGH, BWH, SRH and HMS related to the professional group
Manages Departmentâs professional billing to optimize front end processes and to ensure optimal collections. Works closely with the Professional Billing Office to ensure excellence in billing processes and to address any questions or concerns. Creates and analyzes reports; communicates with Sr, Vice President and Chief of Service concerning any problems or challenges, and collaborates with Department and PBO leadership to rectify problems
Oversees and approves all financial transactions (payroll, travel requests, employee salary/data changes, journal entries, check requests, etc.)
Conceptualizes and performs a variety of financial analyses
Prepares and presents various statistical reports, cost analyses, research funding surplus/deficit projections, and budget justifications
Oversees expense (rent, telephones, staffing, etc.). Develops and implements strategies for cost containment
Ove! rsees and performs transactions regarding the Chiefâs sundry funds using Insight system
Develops a variety of contracts, and interfaces with the MGPO Contracts Database
Responsible for HMS finances including CME funding, payments to SRH for teaching, Chiefâs pay, etc. Serves as contact for all HMS financial issues.
Manages MGPO special payment arrangements and transfers (e.g. LTAC transfers to SRH from MGH)
Physician management:
Supports the Chief in identifying need and recruiting new physicians. Drafts recruitment offers
With Department Chief, develops and implements physician contracts
Conducts orientation and performs âon-boardingâ functions for new physicians
Makes all changes to physician compensation, salary sources, etc. in the PeopleSoft system
Serves as department resource for all issues related to professional staff benefits
Oversees group practice and third party credentialing/enrollment issues
Prim! ary interface between MGPO and physicians regarding MGPO quality incent! ive programs; Manages MGPO Quality projects and requirements - develop measures, measure, gather data, and submit to MGPO
Personnel
Responsible for managing all of the Department/MGPO nursing and support staff
Addresses all department personnel issues including all staff transactions (hiring, salaries, promotions, annual reviews, job descriptions, corrective action). Makes all changes to compensation, salary sources, etc. in People Soft system
Serves as department resource for all issues related to employee benefits
Executes weekly payroll using Kronos
Practice Management:
Analyses strategic opportunities and, with Chief, determines new practice sites
Develops new practice sites including financial projections, budgets, space, leases, information system set up, staffing, etc. often in conjunction with other departments
Manages all group practice sites (29 sites)
Manages contracts with outside locations
Manages agr! eements with MGPO practices in Orthopedics, Neurology and , Neurosurgery: negotiates arrangements for rent and staff support for each situation
Manages MGPO pediatric multi-disciplinary concussion clinic
Implements MGPO and BWH ambulatory initiatives (CRMS, HIPAA, etc)
Manages Department's customer service initiatives. Monitors and analyzes monthly service statistics
Manages safety, regulatory, emergency preparedness issues for the department
Ensures compliance with Hospital guidelines and all local, state and federal regulations as well as accrediting agencies and regulators
Research
Interfaces with Research Management at SRH regarding issues with research finances and investigators
Manages all outside contractors for "mini-grant" research work,
Systems
Reviews weekly QDM quality dashboard and patient comments and follows up as appropriate
Serves as a resource for physicians and trainees with coding, record reviews, and! other compliance activities
Manages SFA requests and approver for ! users of clinical systems
Sets up Patient Gateway for practices
Sets up and monitors use of CRMS for practices
Manages IDX scheduling changes
Uses PatientKeeper to monitor physician charges and run reports. Assists in training as needed. Serves as liaison with the billing department regarding PatientKeeper
Reviews COI reports and ensures compliance
Initiates credentialing activities at MGH and MGPO using MSO
Participates in E-Care validation sessions
Other:
Privacy Security officer for MGH/MGPO
Oversees the development, preparation, and distribution of department publications/communications
Oversees department information systems
Supports SRH senior management with DON and cost-benefit studies
Manages directly or oversees all aspects of department educational programs including post-graduate courses
Assumes responsibility for complex special projects as assigned (department-specific, hospital-wide and syste! m-wide projects)
Qualifications
Masters degree in business administration, health care administration, or related field required.
7-10 years of experience in a management role
Driverâs license required as some weekly travel is part of this role
Highly proficient PC skills (MS Office, Windows, Excel, Access). Prior experience with MGH systems (TSI, Cognos) helpful but not essential.
Supervisory experience with administrative support staff.
Experience working with physicians in a managerial capacity preferred.
Ability to work with physicians and relate to their concerns on a one-to-one and group basis
Strong communication, interpersonal and leadership abilities
Superior analytical skills
Excellent attention to detail
Strong sense of fairness in dealing with personnel at subordinate, peer, and superior levels
