Job Summary

The Events Officer works collaboratively as a member of the Development & the Jimmy Fund team to help the department meet its annual fundraising goals. Work closely with the Assistant Director of Donor Relations Events in the coordina! tion of recognition programs for VIP donor base consisting of ! 5,000+ major, foundation, corporate, and historic donors.
PRIMARY DUTIES AND RESPONSIBILITIES:
This position requires a significant level of contact with internal staff across many departments as well as trustees, donors, and volunteers. Responsibilities include:
Plan, prepare, implement, and attend donor cultivation, stewardship, and recognition events in diverse settings to meet division-wide strategic fundraising goals (approximately 60+events per year including dedications, lectures, lunches/dinners, receptions, Visiting Committee, Society events, etc.):
Oversee all logistics for donor cultivation and recognition events, including design, printing and mailing of invitations, audio/visual, volunteer supervision, catering, decor, donor gifts, etc.
Coordinate briefing materials for the president, senior vice president of development, physicians, and development staff;
Work with other Institute departments to manage and coordinate events;! including support of annual trustee-related events
Work with vendors to obtain best prices and services;
Manage invitation database and RSVP tracking system for all events;
Prepare and monitor budgets for all events;
Prepare event evaluation, follow-up materials, and management reports as required;
Support Palm Beach office as needed
Give Institute tours, as needed;
Serve as division-wide contact for questions related to faculty/patient speakers;
Serve as donor relations liaison for specific business units, staff, or events as assigned;
Create and implement program management tools and resources as appropriate;
Assist the entire department, including business units in reaching financial goals;
Other projects as necessary.
SUPERVISORY RESPONSIBILITIES:
Reports to Assistant Director, Donor Relations. Has direct supervisory responsibilities of volunteers and event staff. The position has a considerable amount of ! autonomy in decision-making and in completing work-related tasks is req! uired.
Job Qualifications
MINIMUM JOB QUALIFICATIONS:
Bachelor's degree required with minimum 3-5 years experience in events management, preferably in a Development setting. Work with donors, committees, and volunteers preferred.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Detail-oriented with excellent written and verbal communication and organizational skills are critical. Possess the ability to work well with all DFCI Departments, senior management, and donor constituencies; juggle multiple projects. Demonstrated ability to work independently in a fast-paced environment. Compassion and understanding in working with pediatric and adult patients is needed, with a passion for working with children. Strong word processing and Excel skills and working knowledge of Microsoft Office are required. Specialized knowledge of catering, facilities management, event logistics, budget management, and vendor contracts helpful.
Sch! edule
Monday - Friday, 8:30AM - 5:00PM. Some night and weekend hours may be required. Access to a personal vehicle is a plus but not required.
